VUMC Real Estate – Associate Real Estate Analyst

  • Sets and Responds to Meeting Requests (internally and externally) as well as assistance with aligning Vanderbilt calendars for off-site property tours;

  • Provides general number for outside parties to call to access VUMC Real Estate . As part of this function, documents the needs and interests of individuals calling the office from the community to be shared with supervisor for confirmation of further action;

  • Setting up and Maintenance of all Hard Files and File Inventory Lists (Note: VUMC Real Estate retains all originals with scanned copies of the same loaded in the Lease Harbor tool);

  • Processes Consultant Invoices which support VUMC Real Estate;

  • Purchases all Office supplies through E-Procurement . As part of this function, maintains the corporate credit card (with oversight from supervisor) which supports the office for certain expenses like memberships and subscriptions;

  • Document generation as needed for the team (Word; Excel; or Power point);

  • Facilitates service for copiers; phones; computers; email; and shared server;

  • Facilitates travel arrangements;

  • Assists with review and processing of VUMC payment for monthly invoicing tied to VUMC office occupancy (e.g. extraordinary maintenance; parking; etc)

  • Document Distribution to internal stakeholders as new agreements and or amended agreements are executed;

  • Coordination and Tracking of the Following :

  • Documents for Signature includes the drafting of cover letters to accompany the packages to outside parties and secures signature by outside parties and return of documents;

  • All documentation (internally and externally) to support the setup of VUMC Rent Payment. (Note -Post Lease execution, this person will be Landlord’s primary contact for the office as it relates to any questions about rent payment);

  • Research as needed to support rent adjustments;

  • Lease Commencement Letters ;

  • Receipt of Tenant Improvement Allowance ;

  • Document exchange with legal counsel ;

  • Support of Lease Harbor Data Input with the goal of building the most robust data repository possible (i.e. entering updated common area maintenance information as it becomes available)

  • Development Activity - Support meetings held in a variety of VUMC facilities and tracking of correspondence internally and externally as it relates to special programs.

Bachelor's Degree (or equivalent experience) and < 1 year experience
