JOB SUMMARY

Director – Revenue Cycle Systems and Finance coordinates prioritization for maintenance and optimization in the revenue cycle system applications including patient accounting, patient access and other supporting applications for revenue cycle operations. The position ensures a focus based on the development of these applications to optimize revenue cycle metrics and minimize staffing resources to accomplish workflows. The Finance responsibilities include managing the completion of the annual budget, monthly monitoring of expenses in alignment with this budget, monitoring outsource vendor expenses and metrics for their performance, assisting with vendor financial performance analysis and insourced versus outsource financial (ROI) analysis, developing decision support labor standards and monitoring labor variances to the labor budget. This position will work with Revenue Cycle leadership to manage to the budget. Additional finance responsibilities include being the Revenue Cycle liaison to the VUMC Controller, with the primary responsibilities that include discussing and documenting any accounting issues that may result from contractual arrangements or other changes, providing supporting documentation and analysis as it relates to the valuation of our Net Patient Accounts Receivable balances and related reserves and ensuring cash is applied as per VUMC revenue cycle policy. To accomplish these objectives, the position leads a revenue cycle system support and web application development team, in coordination with HealthIT, and a budgeting and administrative team.

JOB DUTIES

A. PRIMARY ESSENTIAL JOB RESPONSIBILITIES:

  • Develops and maintains technical and business knowledge of systems in use or planned for use at VUMC to support revenue cycle operations.

  • Work closely with the revenue cycle management team, including vendors’ technical support teams, to identify solutions for system optimization based on specified requirements in response to legal/compliance requests or planned changes in revenue cycle workflows.

  • Work closely with Health IT’s Patient Access Revenue Cycle (PARC) Executive Director and Health IT revenue cycle team leaders to drive improvement into processes within patient access and revenue cycle.

  • Actively engages in the Facility/Organization Governance workgroup to understand new system build of departments, bill areas, etc. and its impact on revenue cycle operations, reporting and/or income distribution.

  • Coordinates onboarding for outsource revenue cycle vendors. Reviews system performance metrics during onboarding with the vendor and Revenue Cycle’s vendor who provides monitoring tools for this task.

  • Serves as Revenue Cycle‘s liaison with VUMC Finance for budgeting guidelines and budget submission with any necessary revisions. Works directly with other Directors/AVP to develop budgets for their areas of responsibility and budget consolidation with SVP, Revenue Cycle. Coordinates completion of budget action plans when unfavorable variances exist.

  • Serves as Revenue Cycle’s liaison with the VUMC Corporate Controller and Director of Revenue Accounting. Helping provide data and analysis to support the validity of the valuation of outstanding patient receivables and support the preparation of accounting position papers as it relates to accounting for new contractual relationships and GAAP changes affecting revenue.

  • Coordination and oversight for the Controller’s office as it relates to cash application and refund process ensuring cash and refunds are processed as per VUMC policy.

  • Support the development of process documentation and flowcharts.

  • Act as the external audit and internal audit liaison, working with the Controller’s office.

  • Oversees the timely completion and updating of revenue cycle procurement documents, consistent with the budgeted expense.

  • Attract, retain and develop technical staff within Revenue Cycle’s support teams.

  • Engages with Legal, Compliance and/or Internal Audit to discuss system functionality, provide reporting for internal and external audits, etc.

QUALIFICATIONS

EDUCATION

  • Bachelor’s degree in Business, Computer Science, Informatics or a related field is required.

  • Master’s degree in Business, Computer Science, Informatics or a related field is preferred.

  • EXPERIENCE:

  • Minimum of ten (10) years of management experience and success in leading solutions development and integration teams in a healthcare setting with at least five (5) of those years in an Epic Patient Access and Revenue Cycle application environment.

  • Extensive knowledge of patient scheduling, ADT, patient movement, hospital and professional Billing and revenue cycle workflow in a large, complex, multi-hospital healthcare setting.

  • Strong experience in revenue cycle budgeting and procurement processes.

  • Strong experience in project management, adhering to target dates and managing new projects to completion timely.

  • Comprehensive understanding of GAAP as it pertains to a nonprofit revenue cycle, including patient receivables’ valuation and revenue recognition. Big 4 accounting experience and CPA is preferable.
