Vanderbilt University Medical Center Sr. Administrative Assistant-PMI in Nashville, Tennessee
T his position provides a wide range of administrative and academic support for the Molecular Pathogenesis Division in Pathology, Microbiology and Immunology. The successful candidate will be detail oriented, able to multi-task, function independently with minimal guidance and also work on team projects.
Provide support for multiple academic programs and seminar series. Duties may include room scheduling, purchasing, travel arrangements for invited speakers, assistance with course preparations and course evaluations, maintain databases and list serves, act as CME coordinator for CME credits, distribution of seminar and division information and coordination for journal clubs, chalk talks, and happy hours.
Manage alumni database and maintain connections
Provide support for faculty, post-doc, and graduate student initiatives
Liaison with VU graduate education personnel, media support services, VU and VUMC conference scheduling, and other departments within VU and VUMC
Assist faculty with purchasing for publications, memberships, dues, office supplies
Conference/meeting room scheduling and post calendars weekly
Maintain supply closets, mail room and manage copiers
Initiate work orders, service contracts and blanket purchase orders as needed
Assist with research retreats and symposiums as needed
Assist key departmental stakeholders with special projects
High School Diploma or GED (Required)
4 years relevant experience (Required)
PREFERRED EXPERIENCE AND SKILLS:
Previous experience providing support for academic programs would be beneficial
Ability to multi-task
Ability to function independently with minimal instruction
Ability to work on team projects
